Facilities Administrator - International Law Firm
Based on site at an international Law Firm, you will provide finance and administrative support to the Facilities Team and carry out small scale building maintenance & general facilities services, AV support and soft services.
You will collate all catering, taxi and train costs for both the Edinburgh & Glasgow offices monthly and allocate them to the correct client or department matter. You will process invoices on their Nucleus system, ensuring they tie back to a relevant PO & liaise with both suppliers and central Finance team so that they are paid correctly & on time.
You could also be asked to assist the Facilities assistant with the following:
General facilities and maintenance tasks such as replacing light bulbs, adjusting temperature levels to suit internal staff needs with Building Management, repairing locks and door kick plates, minor plumbing repairs, relocating and re-fusing desk sockets, etc.
Assist AV requests booked through Manhattan in the meeting room suite, including MS PowerPoint, WebEx and Prezi presentation setups, large event and seminar setups and internal & external videoconferencing setups via MS Lync/Skype for Business and external call bridging provider.
Conduct and document monthly emergency lighting tests and fire safety checks.
